2013 Chesapeake Bay Gathering?

Update :smt024
So this time next week, many of us may be on the water or heading to the water to get underway. So far we have 10 boats and 25 people attending. If you know of anyone else who would like to come, or may still be on the fence about attending, please contact them and encourage them to join us and register ASAP. I plan to send our roster to Mears on Wednesday or Thursday for tentative slip assignments. That way we’ll have an idea of where we will be, and also anyone who may be arriving late will have at slip assignment that you can confirm by phone mid-to-late afternoon Friday.

I plan to go back over to Mears this weekend to look around now that all the boats are out of the parking lots and see what areas we may be able to use for our gathering. I’ll also verify that there are grills for us to cook on and check out the options for seating and tables. We may need to supplement with some of our own.

A few outstanding items to follow up with me on via the CSR event thread or email:
csr.chesapeake.gathering@gmail.com

 1. Please let me know if you plan to arrive Friday (afternoon/night) or Saturday.
 2. To make sure we have a mix, let me know if you will bring a desert/side/both to the picnic Saturday afternoon. See below for more info.
 3. If you would like a vessel safety check, I need to know so I can give Chuck an idea of how many boats (inspection sheets, stickers, etc) he’ll need to plan for, and how much time he’ll be volunteering.
 4. Keep an eye on the website thread for updates to the spreadsheet and more follow on information as the week progresses.
 5. Any recommendations or suggestions you'd like to add to help make this event fun and a success.

Saturday Afternoon (Dinner) Pier-side Picnic Information:
To keep things simple, please plan to bring drinks and your own main course for you and your guests. Also, please bring your favorite side and/or desert to share among us all. You should also plan to provide your own cups/plates/silverware etc.

Jim,
Thanks for getting this organized. I look forward to meeting everyone.

I will bring a side and dessert to share. My current plan is to leave my dock late Friday afternoon, hopefully earlier if possible. I have a portable propane grill if needed.

Jim,
Thanks very much for heading this up!!
We're going to do our best to get there friday evening depending on how the day at work goes. We'll be bringing a side and something for desert.

See ya next weekend,

Tim

I hope every one has a great stay at Mears this weekend as there is plenty to do and see.We are members there and absolutely love it. If any one thinks down the road they might like to become a member there please contact me (pm).

Tom

Who is going on Friday and who is going on Saturday?
I plan on leaving my port in the South River around 5ish, should arrive around 6ish.

We are hoping to leave from the office Friday around noon time & should put us there between 5-6 (5 hr trip). The galley wench is still deciding on the side dish & desert.
Jim how did make out on your visit this past weekend? We have a portable gas grill on the boat if needed and bringing down an extra cooler. May have another boating couple on the boat this weekend, will have them covered.
Looking forward to meeting everyone

Saturday I went over to Mears to check things out and also scope out slip assignments and pavilions. It looks like we will all be on G-dock for this event. I will be sending in our spreadsheet Weds night for slip assignments on Thurs. I believe they said that G-dock slips are divided between 60’ slips and 40’ slips (so bring long lines if you need them). G-dock is inside their basin and out of the current, and also located near one of the shower houses. Arrivals: Mears monitors for hailing on channel 9, and seemed to switch folks over to channel 14 from there. They have dock hands at the fuel dock until 7PM who can assist if requested. Pavilions: There are three pavilions along that seawall which we can use for our cookout on a first come first served access. Also, there are 2-3 picnic tables in each pavilion, so we will likely need additional seating. If you have collapsible / portable chairs and you have space aboard, it may be a good idea to bring some along for additional seating capacity. Grills: Each pavilion has 1 to 2 charcoal grills available. There are gas grills in some of them, but they belong to individual slip holders and not available for our use. So far we have two portable grills that have been offered (Jon and Tony), but if anyone else has one and would like to volunteer, please let me know and bring it along as backup capacity.

If you have not already done so, please update me on the numbered actions below, and also be sure to let me know if you want a vessel safety check. I’ve updated the spreadsheet so it is as current as I am aware. If I missed your email/update, poke me again!

Is anyone bringing their dinghy? I am on the fence if I should bring mine or not, I thought it might be fun to explore the area.

It is a great place to have a dinghy. How else will you get to Big Owls dock bar? Well, you could walk, but a dinghy is so much more fun.

Wednesday Lunch Update -- Looks like the spreadsheet is starting to fill in nicely. Still a few holes. I plan to submit this at the end of the day for us to get tentative slip assignments on Thrusday. Will post what I get back as soon as it comes in. Looking forward to seeing everyone and a successful event. If you have not seen the other updates (Friday / Monday night) a few posts down, here's a link. Please take a look.

A few other notes. We have three grills now. Also, just a reminder about chairs as something to think about. About reservations: Mears has a 24 hour cancellation / modification policy... so if you have second thoughts about traveling in rain potentially on Friday, be sure you make your final decision and update your reservation Thursday AM at the latest. Lets get the potential for rain out of the way early so we can have a nice remainder of the weekend! Lastly, don't forget about the Chesapeake Bay Bridge Swim on Sunday if you have any intention of transiting under the bridge which will be closed from early morning until around 1-3PM depending on how the activities progress.

Oh and one final thing... While Mears does have a pool bar for both drinks and food, on Saturday I saw several people with snacks and also Tervis tumblers and opaque water bottles popping out of pool bags... My assumption is there may have been some contraband food/beverage activity (youth and adult-type) going on which was knowingly overlooked. So it may be B-Y-O-Contraband if you choose to do so! (Not suggesting... Just say'n...)

The weather is not looking good for tomorrow. I changed my reservation, I now plan on leaving my dock Saturday morning around 9am and should arrive at Mears around 10:30.

I will be right behind you... within 30-40 minutes if not literally. Mears has the spreadsheet today and will be making our slip assignments. I'll post that up this afternoon/evening. I just updated the spreadsheet image on my last "update" post. Will add full new update when I get the assignments.

Hmm looks like my countdown timer is dorked up somehow too. Oh well!

Look forward to meeting everyone, Tom you and I seem to see each other each year at a different marina.

James, you want to cruise together?

Good luck on your gig Jim. We were supposed to be on the ship that caught fire that's why we couldn't make it. Maybe next time. Look us up if you get up tp Bodkin Creek.
George

That stinks about the ship. At least you werent on that cruise when it happened!

Never too late. Swing down if you like!
